Attaching Documents to Maintenance Logs

Link receipts, invoices, and service reports stored on your own system to maintenance log entries.

Quick Answer

Paste a link to a document stored on your own system (SharePoint, Google Drive, Dropbox, etc.) on the Log Maintenance modal. DREAM doesn't host or verify the file — it just opens the link.

DREAM lets you attach a single optional link to each maintenance entry. The link points to a document — invoice, receipt, service report, photo — stored on your own system.

Why links instead of file uploads

Document storage and compliance is its own problem. Rather than make you pay extra for it (and trust us with potentially sensitive files), DREAM keeps things simple: you store the documents wherever you already do, and DREAM stores the link. You retain full control of your records.

Adding a link

When you log maintenance — either on an asset or a vehicle — paste your URL into the Document Link field. When you click Save, DREAM warns you that the link is static (more on this below) and asks you to confirm before saving.

Editing or removing a link

Maintenance entries are otherwise permanent — date, details, vendor, and cost can't be changed once saved. The document link is the one exception. Click the small pencil icon next to the link on the maintenance card to edit or remove it. The rest of the entry stays locked.

ℹ️ Note: DREAM does not fetch, store, validate, preview, or cache the document. If the file moves or its URL changes, the link will break. Keep your document storage organized so links remain stable over time.
💡 Tip: Use stable, long-lived URLs. For SharePoint, the "Copy link" with "People in your organization" option produces a permanent URL. Avoid sharing personal OneDrive links — those often expire after a set period. For Google Drive, "Anyone in your organization with the link" is the most stable option.
